This page lists the registration fees for AASE conferences, what your registration includes, how to pay, and our cancellation and refund policy. Presenting authors should register and pay only after receiving their paper acceptance notification. Listeners (attending without presenting) may register directly. All fees are quoted in US Dollars (USD).

1- Bank Transfer (T.T.): bank account details will be provided together with your paper acceptance notification. Please include your paper ID / conference code as the payment reference.
2- Credit Card / Online Payment: a secure online payment link will be provided after your submission is accepted.
All fees are quoted in US Dollars (USD). Any bank or payment gateway transaction charges are borne by the participant; AASE must receive the full amount listed above.
If you are unable to attend after registering, you may cancel and request a refund. The amount refunded depends on when AASE receives your written cancellation request, counted back from the first day of the conference.

If your visa application is refused, you may cancel under more favourable terms. A copy of the official refusal letter issued by the Embassy or Consulate must be attached to your request.

1- Send your request by email to aase.association@gmail.com with the subject line "Refund Request – [Conference Code] – [Paper ID]".
2- Include your full name, the conference you registered for, your paper ID (if any), and the date and method of your payment. For a visa-related cancellation, attach the official refusal letter.
3- The date and time your email is received by AASE determines which refund rate applies. Requests made by phone or social media cannot be accepted.
Overpayment: If you have paid more than the required registration fee by mistake, the extra amount will be refunded within 30 days.
Conference cancelled by AASE: If AASE cancels a conference, registered participants will be offered a full refund or a transfer of their registration to another AASE conference.
Visa, travel and accommodation: Visa applications, travel and accommodation are arranged and paid for by each participant. AASE provides official conference documents (such as an invitation letter) to registered participants, but cannot guarantee that a visa will be granted or that entry to the host country will be permitted. AASE is not responsible for airfare, hotel or other costs resulting from a visa refusal, travel disruption or personal circumstances. We strongly recommend applying for your visa early and choosing refundable travel and hotel bookings.

Group Registration
Four or more presenters from the same institution pay the Early Bird rate, and the group leader can register free. Six or more presenters can even host a dedicated AASE conference in their own city.

Every registered participant receives a 1-year AASE membership with the Member rate at all AASE conferences. Lifetime Membership is reserved exclusively for AASE keynote speakers.

Undergraduate, Master's and PhD students, including presenting authors, qualify for the Student rate. Please provide proof of current student status (e.g., a valid student ID or enrollment letter) when registering.
If co-authors attend together, does each need to register?
Yes. Each author attending in person must register and pay separately. One registration covers one attending author.
Can AASE issue an official invitation letter?
Yes. Once your submission is accepted and your payment is received, we will issue an official invitation letter together with your receipt. Invitation letters, receipts and certificates are issued only in the name of the registered attendee who has paid; co-authors who have not registered are not listed.
Are abstract-only submissions published?
Yes. All accepted submissions, both abstract-only and full papers, are published in our ISBN-assigned digital proceedings. Selected full papers may additionally be recommended to Scopus-indexed journals.
What is AASE?
Applied and Advanced Science Exchange (AASE) is an academic association that organizes international, in-person conferences on artificial intelligence in education, the social sciences and the natural sciences. In 2027 it holds the Global Forum on AI-Driven Education and Social Symbiosis (AI-ESS) series.
Where and when are the 2027 AASE conferences held?
AASE holds 22 conferences between January and December 2027 in Fukuoka, Taipei, Tokyo, Hokkaido, Seoul, Kobe, Kyoto, London, Osaka, Bangkok, Sydney, Hakodate, Vancouver, Nagoya, Budapest and Istanbul. Dates, deadlines and venues for each conference are listed on the 2027 Events page.
How do I submit a paper?
Submit your abstract or full paper (.doc or .docx) through the online submission form and select your conference. You will receive the review result within one week. Presenting authors register and pay only after their submission is accepted.
Can I attend without presenting?
Yes. You can attend as a Listener (USD 220) by registering directly on the conference page. Your invitation letter is issued within three days of payment.
Can I present online?
No. All AASE conferences are held in person only; online or virtual presentations are not available.
